What Success Looks Like In This Job
The District Attorney’s office is seeking a skilled Executive Administrative Assistant to support the District Attorney and two Assistant District Attorneys. The successful candidate plays a crucial role in the office by handling senior-level administrative tasks with professionalism and efficiency. Under limited supervision, the incumbent performs multiple, complex administrative, project management and clerical duties for the District Attorney. In addition, they provide exemplary customer service to internal staff, partnering agencies and the general public. Other duties may include leading a variety of special projects that require analytical, organizational and technical knowledge. The individual in this position handles a wide variety of confidential matters that requires tact and discretion.

Specific Duties
Serves as Executive Administrative Assistant to the District Attorney and his two Assistant District Attorneys and serves on the District Attorney’s Senior Executive Team.
Manages the District Attorney’s and Assistant District Attorneys’ executive calendars, scheduling meetings and appointments.
Manages all appointments and access to the District Attorney and serves as a gatekeeper for those seeking time with the District Attorney.
Responsible for scheduling internal and external meetings for the District Attorney with partners and stakeholders, including elected officials, law enforcement agencies, state and county entities, policy stakeholders and legislators.
Coordinates and organize internal meetings, including preparing agendas, taking minutes, and distributing materials. (e.g., Executive Leadership Team, Continuing Learning Education)
Screens and prioritizes incoming communications, phone calls, and visitors, redirecting as necessary.
Manages correspondence for the District Attorney including e-mail, written correspondence and the signing of legal and other documents
Prepares and edits correspondence, reports, presentations, and other documents.
Generates, maintains, and publishes on-call schedules for office attorneys
Performs a wide variety of clerical and administrative duties, data entry; maintaining accurate and detailed logs/records.
Manages and maintains confidential files and records.
Assists in the preparation of the District Attorney’s annual budget proposal to the Board of County Commissioners
Liaise with internal departments and external contacts on behalf of the Senior Executive Team.
Provides general administrative support, including copying, scanning, and filing.
Proofreads a wide variety of reports, letters, memoranda.
Maintain homicide case assignment database.
Coordinate special projects and events as assigned.
Collaborates with Administrative Unit regarding new hires, budget and other matters
Communicates with Chief Deputy DA’s, Directors, Senior Leads and other managers throughout the District Attorney’s Office
Serves on the Executive Leadership Team and keeps minutes of its meetings for the District Attorney
Manages the District Attorney’s professional travel, including conferences, speaking engagements etc.
Specific Duties:
- Performs paralegal and legal assistant duties
To be successful, our candidate should have the following knowledge, skill, and abilities:
Knowledge of legal terminology and legal documentation format sufficient to be able to read, interpret, and prepare legal documents.
Knowledge of office practices and procedures sufficient to be able to organize and maintain files, records, and schedules and to obtain and/or relay information and process documents in a timely manner.
Ability to work in a standard office environment and basic knowledge of Microsoft Office suite programs: MS Word, MS Excel, Outlook, as well as the ability to master internal District Attorney legal software, such as ACTION.
Ability to provide assistance to other support staff units within the office as needed.
Ability to facilitate cooperation and work with others to achieve goals.
Strong communication, adaptability, self motivation
Ability to organize, plan and prioritize work
Qualifications for Success
High School graduate or equivalent
Five (5) years of legal assistant/paralegal experience in a legal office setting.
Additional related education may count towards required experience.
