Description
The Office Administrator will support all team members with administrative duties while providing excellent customer service to all guests.
Responsibilities
Open and distribute mail, stuff invoices, send certified mail, ship FedEx requests
Assist callers
Welcome and greet guests
Maintain Proven IT’s general mailbox and forward emails to appropriate individuals
Collect and update all tax-exempt letters for Accounts Receivable
Order office supplies when needed for each office
Order and stock kitchen supplies
Organize breakfasts/lunches for guests, potential clients, and employee meetings/events
Get signed contracts from all employees for paid trainings reimbursements
Order and send flowers for staff events (births, funerals, etc.)
Order trophies and awards for sales and service department
Request and distribute Certificate of Insurance
Print monthly statements for all clients
Order business cards/badges/name plates for all employees
Assist AP in entering vendor invoices
Assist AP with reconciling vendor statements
Performs other duties as assigned
Requirements
High School Diploma
Previous administrative experience
Problem solving skills
Highly organized
Ability to multitask
Microsoft office experience
Ability to work independently
Valid driver’s licenses and vehicle
Ability to pass a pre-employment background check and drug screen
Physical Demands
While performing the duties of this job, the employee uses his/her hands to finger, handle, or feel objects; reach with hands and arms. The employee uses a computer, copier, fax, and telephone equipment. The employee must be able to sit for a prolonged period. Must be able to lift up to 15 pounds.
