U.S. Army Corps of Engineers Administrative Project Assistant (Office Automation) in United States

Summary About the Position: The office atmosphere is friendly, high functioning with staff from a variety of backgrounds. Incumbent performs a variety of administrative and technical support functions for the office. Must be competent in the use of Personal Computers (PCs) to maintain required databases, extract, and/or download data, and develop presentation graphics required by assignments. Responsibilities Responsible for administrative and technical functions for the office including preparation of a variety of narrative and tabular material such as requisitions, correspondence, memorandum, and administrative forms. Recognize and correct errors in correspondence/documents/reports using the rules of grammar, spelling, punctuation and format. Use computer systems equipped with electronic mail, calendar, graphics, spreadsheets, word processing programs and database management systems. Serve as primary liaison for all project sites for Corps of Engineers Financial Management System (CEFMS) processing, administrative, and other Automated Data Processing support. Coordinate training requests, schedule personnel for training and maintain pertinent records. Prepare and track all on-going and projected personnel actions and update the staff. Make arrangements for supervisor's travel, arrange schedule of visits, make reservations, and notify organizations and officials to be visited. Assure leave and overtime compensation requests are prepared timely. Coordinate the daily administrative support activities of the office and work with a team of clerical staff to take care of fluctuating workloads. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Experience Requirements: GS-05 Specialized Experience: One year of specialized experience which includes meeting ONE OF THE FOLLOWING: 1) Operate a financial management system for tracking time and attendance; 2) complete travel arrangements; 3) prepare and edit complex documents and/or reports; and 4) utilize automated software, such as Microsoft Excel, Microsoft Word, or Microsoft Power Point to prepare correspondence. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. GS-06 Specialized Experience: One year of specialized experience which includes meeting TWO OF THE FOLLOWING: 1) Operate a financial management system for tracking time and attendance; 2) complete travel arrangements; 3) prepare and edit complex documents and/or reports; and 4) utilize automated software, such as Microsoft Excel, Microsoft Word, or Microsoft Power Point to prepare correspondence. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05). OR Education: A half year (i.e., 9 semester hours) of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business Administration. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 9. Add the two percentages. Selective Placement Factor: This position requires a selective placement factor as a qualified typist. A qualified typist can type 40words per minute based on a 5 minute sample with three or fewer errors. Education FOREIGN EDUCATION: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
